PRIVACY NOTE
Privacy note
In force from 14 October 2026.
RosterPress does not upload roster contents while you use the tool. The tool runs in your browser. There is no account to create, and this site adds no analytics and no advertising.
Information is held in four separate places, and each is described on its own below: your browser, the support mailbox, the payment provider and the web host, and the copies you make yourself.
1. Your roster: processed and kept in your browser
The roster you import, your answers, the proofs, the approvals and every export are made in your browser. They are kept in your browser's storage for this site, and in the order files and exports you save.
Columns you don't map, which are often parents' names and phone numbers, are not kept in the order at all.
Clearing this site's data in your browser removes the browser's copy of your orders. It removes nothing else: files you saved, sent or backed up are covered in section 5.
2. What the tool sends to this site
Importing, answering, proofing and reviewing do not upload roster contents, and making an export or a trial copy sends nothing from the roster. Like any web page, your browser still asks this site for the pages, scripts, fonts and pictures the tool is made of; those requests carry nothing from a roster. Beyond them, the tool asks this site's purchase function only these two things:
- Each time the Production screen shows the paid step
- The tool asks this site's purchase function whether purchasing is open where you are. The web host tells the function your country, from your network address.
- When you buy, or use Help with a purchase
- The tool sends the order's reference, which is a random number, or the reference of the purchase. Nothing from a roster goes with it.
3. Support email, and the records kept about it
Mail sent to rosterpress.help@gmail.com arrives in a Google mailbox made for this product, so Google holds it under Google's privacy policy. It gives us your address, your subject and your message. Please don't send a roster: none is needed.
The automatic responder is not running yet. Until it is, mail stays in that Google mailbox as it arrives: nothing answers it automatically, no reply is promised, and none of the records listed below is made.
Once it is running, it is planned to answer routine purchase questions from that mailbox, and this is what it would do and keep:
- Your message stays in the mailbox, with a label that says how it was handled. A reply to you is sent from the mailbox, and a copy stays in its sent mail. The responder deletes no mail, and no deletion schedule has been set.
- To answer a question about a purchase, it asks this site's purchase function for the purchase's state and the day it was paid, by a reference written in your message or by the address you wrote from.
- It adds one row for each message to a Google Sheet in the same Google account. The row holds: when the message arrived and when it was handled; Google's own identifier for the message; which fixed answer or exception applied; a short case code made from the date and eight characters computed from the arrival time, the sender line and the subject; whether the message carried a purchase reference (yes or no, not the reference); the purchase's state, if one was looked up; what was sent; for a trial report, whether it held any answers; and, for a message copied to the seller, the subject of that notice and the minutes the seller spent on it. The row holds no name, no email address and none of your message's text. No deletion schedule has been set for the sheet.
- A message the fixed answers cannot settle is copied to the seller's own mailbox with your address, your subject and your text.
- For a purchase that needs the seller's attention although nobody wrote in (a payment with no order to attach a pass to, for example), the seller is sent the purchase's reference, the day it was paid and its billing country, and the responder keeps a list of the references it has already reported, up to 400 of them.
- A trial report is kept in the mailbox under its own label and counted in the sheet. It gets no reply.
4. The payment provider's records, and the web host's logs
Checkout is hosted by Stripe, and purchases are sold through Link. At checkout they collect your name, your billing address (to work out tax), your email and your payment details, and they keep their records of the purchase under Stripe's privacy policy and Link's privacy policy. The seller can access the purchase and customer information made available in the payment provider's dashboard. Your payment details never reach this site.
To check a purchase, this site's purchase function reads the payment provider's record of it, which includes the buyer's name, email and billing address. It returns to the tool only whether the purchase is paid, the pass, and a masked form of the email so you can recognise the receipt. The function keeps no record of its own. For each request it writes one line to the web host's log: which kind of request it was, its outcome and, for a problem the software can't settle, a code. That line holds no reference, no name and no address.
This site is served by Cloudflare Pages. Like any web host, Cloudflare handles your network address and your browser's details in order to deliver the pages and run the purchase function, and it keeps its own logs under Cloudflare's privacy policy. We add no analytics to that, and these pages set no cookies.
5. Copies you share, email or back up
An order file, an export or a review file is an ordinary file once you save it. If you email it, put it in a shared folder, or your computer backs it up or syncs it, those copies are wherever you or those services put them. RosterPress has no access to them and cannot remove them, and clearing this site's data in your browser does not remove them.
The review file you send your customer is made on your computer and sent with your own email. It holds the order's title, the proofs and the open questions. It loads nothing from this site or any other and sends nothing anywhere: your customer's answer comes back to you as a file or as text, by their own email.
Children's names
Rosters often hold children's names. That is the reason the tool is built to work in your browser and not to upload a roster's contents.
